JOB DESCRIPTION


Job Title: Facilities Manager

Department: Procurement & Facilities

Reports To: Senior Director, Procurement & Facilities

FLSA Status: Nonexempt


SUMMARY OF PURPOSE OF JOB:

This position is required to live on the property (housing provided) and manage day-to-day operations for the Tournament House (a 100 + year old house also known as the Wrigley Mansion), Offices and Grounds. Also aids with property management services to Association owned and/or leased properties located in Pasadena, Irwindale and Azusa. Oversees the day-today management of landscape and janitorial contractors, supports various volunteer committees and assists with managing audio/visual needs. They will also manage safety and security protocols for the Tournament House grounds and offices, provide room set-ups, staff coverage and ensure safety protocols are in place for events/meetings which will require some after hours and weekend work including responding to emergencies.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Day-to-day property management operations for the Tournament House and grounds.
  • Assists with providing property management services for Association’s owned and/or leased properties, currently five (5) properties (Pasadena - 2, Irwindale - 2 and Azusa - 1).
  • Assists with construction management services and project management for improvements/renovation/repair projects for each property.
  • Day to Day management of the janitorial company for the Tournament Facilities.
  • Day to Day management of the landscape company for the Tournament House grounds and assists with management for the other properties.
  • Provides administrative support for the Association’s procurement process’s including help with bid templates, bid process and contracts administration as it pertains to Tournament Facilities.
  • Assists with coordination and implementation, updating and training for the evacuation, emergency and safety procedures for the Association headquarters.
  • Staff support to various volunteer committees (approximately 2-3 committees).
  • Assists in tracking department expenses and reconciliation with budgeted to actual expenses.
  • Reviews and ensures completeness of all invoices.
  • As directed, organizes internal documents, expenses, invoices, reports, etc.
  • Responsible for event and meeting support including room set-up, managing security and safety protocols, staff support on site and/or on call, and assists with IT and audio/visual support and troubleshooting. Requires some after-hours and weekend work.
  • Coordinates and completes minor repairs including but not limited to painting, light plumbing, light electrical, light construction repairs and minor assembly when needed.
  • Performs landscaping duties when landscape company is not on site. This includes leaf blowing, raking, removing palm fronds or watering when needed.
  • Other duties may be assigned.

SUPERVISORY RESPONSIBILITIES

This position does not supervise other employees although it manages contracted companies such as the landscaping and janitorial contractors.


QUALIFICATIONS

This position requires the candidate to live on the property in the “Caretaker’s Cottage”.

Housing and utilities will be provided.

EDUCATION and/or EXPERIENCE

High school diploma or equivalent plus 3 to 5 -years’ experience in facilities management, or 3 to 5 years’ experience in project management in a facility/office function.

LANGUAGE SKILLS

Ability to read, analyze and interpret proposals, special services agreements, basic legal documents and simple instructions. Ability to write emails, memorandums and letters for internal and external communications. Ability to comprehend and aid in composing request for proposals, purchase orders and a matrix on comparing proposals. Ability to effectively present information in one-on-one and small group situations to volunteers and staff of the organization.


MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


REASONING ABILITY

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.


CERTIFICATES, LICENSES, REGISTRATIONS

Project management and facility management certifications preferred.

COMPENSATION

Annual compensation $45,800 to $50,000, including housing and utilities, and comprehensive medical benefits, retirement benefits and more.
